Buying a commercial coffee machine online has become completely normal. The listings look good, the photographs are sharp, and the price is often better than a showroom quote. The trouble starts three months later, when the machine needs a part and nobody picks up the phone.
Most of that risk disappears if you ask the right questions before you pay. Here are the nine we would want answered.
1. Is the seller authorised for that brand in India?
This is the check that decides most of the others. An authorised distributor gets genuine spares, factory technical support and a warranty that actually means something here. A grey import may be the identical machine and still leave you stranded, because the manufacturer has no obligation to service a unit that entered the country outside its channel. We have broken this down in detail in our guide on authorised dealers versus grey imports. Ask directly, and ask for it in writing.
2. Who honours the warranty, and what does it exclude?
A warranty is only useful if there is a named entity in India responsible for it. Confirm the duration, whether labour and travel are included, and what voids it. Scale damage from untreated water and voltage-related failures are the two most common exclusions, and both are avoidable at installation.
3. Is there service coverage in your city?
A single-machine cafe cannot wait a week for an engineer. Ask where the nearest service team sits, what the typical response window is, and whether spare parts are held in India or ordered from abroad each time. Our service and support page is a reasonable benchmark for what to expect from any seller.
4. Does the full specification match your peak hour?
Product photos hide a lot. Get the number of groups, boiler capacity, single or multi-boiler configuration, and steam wand count in writing. If most of your menu is milk based, steam recovery matters more than shot count. Compare like for like across semi-automatic and fully automatic options before deciding.
5. Will it run on the power connection you actually have?
Some commercial machines run on single phase, others need three phase, and the heating element draws hard on start-up. Confirm the exact load and phase before delivery day, arrange a dedicated line rather than a shared board, and budget for a stabiliser if your area has voltage swings.
6. What are the water requirements?
Check whether the model is plumbed-in only or offers an internal tank version, and ask what water treatment the manufacturer specifies. Hard water scales boilers quietly and expensively. A filtration or softening unit is rarely part of an online listing price, so factor it in yourself.
7. What is genuinely included in the box?
Portafilters, baskets, tamper and a knock box are sometimes bundled and sometimes not. A grinder almost never is, and no espresso machine performs without a good one, so plan for it from our grinder range at the same time rather than later.
8. Are installation, demo and training part of the deal?
Delivery is not installation. Someone has to plumb, power, level and commission the machine, then dial it in with your beans. Ask whether that is included, chargeable, or entirely your problem. Adding proper barista training at this stage saves more in wastage than most discounts save on the invoice, and a full cafe setup consultancy review helps if the outlet is still being built.
9. Do the paperwork and payment terms hold up?
Insist on a GST invoice with the model and serial number recorded, keep the warranty card, and read the return and shipping terms before transferring anything. Be cautious about full advance payment to a seller you cannot verify, and note that unusually low pricing on an imported machine usually means something has been removed from the deal, most often the service.
Frequently Asked Questions
Is it safe to buy a commercial coffee machine online in India?
Yes, provided the seller is an authorised distributor with a service presence in your region and gives you a proper GST invoice. The risk sits with the channel, not with the internet.
How do I confirm a seller is authorised?
Ask for written confirmation and cross-check against the manufacturer. A genuine partner will list the brands it represents openly, the way we do on our brands page.
Will an imported machine bought abroad work in India?
Often it will run, but voltage, plug standards and water conditions differ, and warranty support usually does not travel with it. Servicing becomes your responsibility.
Should I buy the grinder from the same supplier?
It helps. Matching the grinder to the machine and having one point of contact for service makes dial-in and maintenance considerably simpler.
What should I send a supplier to get an accurate quote?
Your peak-hour cup estimate, menu mix, counter dimensions, available power connection and city. With those five details you will get a usable recommendation instead of a generic list. Share yours with the Kaapi Solutions team or browse the full range to start shortlisting.
